How to Set Up a Shared WhatsApp Inbox for Your Team

A shared WhatsApp inbox gives your entire team access to a single WhatsApp Business number — with no credential sharing, no double replies, and full visibility into every conversation.
Here's exactly how to set one up from scratch.
Prerequisites: What You Need Before You Start
- A WhatsApp Business API number (not the WhatsApp Business app — those are different things)
- A Facebook Business Manager account (required for the WhatsApp Business API)
- A shared inbox platform (One Inbox, Trengo, Respond.io, etc.)
If you're currently using the WhatsApp Business app, you'll need to migrate. This means registering your number with a BSP (Business Solution Provider) or Meta directly. The process takes 1–3 business days.
Step 1: Get Access to the WhatsApp Business API
There are two paths:
Option A: Via a platform that acts as BSP. Many shared inbox tools (including One Inbox) are Meta BSPs or work with BSPs. You connect through them directly — they handle the API setup.
Option B: Via Meta directly. You apply for Cloud API access through Meta's Business Manager. More control, but more complex setup.
For most small and mid-size businesses, Option A is faster and requires no technical background.
Step 2: Connect to Your Shared Inbox Platform
Once you have API access, connect it to your inbox platform:
- Go to your platform's Connections or Integrations settings
- Select WhatsApp Business API
- Follow the OAuth flow to connect your Facebook Business Manager
- Select the phone number to activate
You'll see the WhatsApp number appear in your inbox within minutes.
Step 3: Invite Your Team
Add each agent as a user with appropriate permissions:
- Agents — can view and reply to assigned conversations
- Team Leads — can assign conversations, view all agents' queues
- Admins — full access including settings and reporting
Best practice: don't give everyone admin. Scoped permissions reduce mistakes.
Step 4: Set Up Assignment Rules
This is the most important configuration step. Assignment rules determine who handles what:
- Round-robin — new conversations auto-assign equally across available agents
- Keyword routing — "returns", "broken", "damaged" → Support team; "price", "quote", "buy" → Sales team
- Language routing — detect Arabic or English and route accordingly
- Time-based routing — after-hours conversations queue for first-available or go to AI
Step 5: Build Your Saved Replies Library
Before going live, set up saved replies for your top 20 most common questions. Every agent can insert these with a shortcut. This single step typically cuts average handling time in half.
Step 6: Configure Auto-Responses
Set up at minimum:
- Welcome message — sent when a new conversation starts
- Away message — sent outside business hours with estimated response time
- AI responder (optional but high-value) — handles conversations autonomously when agents are busy or offline
What to Measure After Launch
Within the first week, watch:
- First response time — how long from customer message to first agent reply
- Missed conversations — any conversation with zero replies after 1 hour
- Agent load — is work distributed evenly or is one agent drowning?
Adjust your assignment rules based on what you observe. Most teams hit a stable workflow within 1–2 weeks.
