How to Manage Telegram Business Messages at Scale
Telegram is huge in some markets — and ignored by most CRMs. Here's how to manage Telegram business messages without becoming a slave to your phone.
Telegram has 900M+ active users and dominates customer messaging in Eastern Europe, Russia, parts of Asia, and the Middle East. Yet most CRMs treat it as an afterthought. Here\'s how to handle Telegram business messages properly.
Telegram Business vs Telegram Bots
Telegram Business (Personal Accounts with Business Features)
Launched in 2024 — turns a personal Telegram account into a business account. Adds: business hours, away messages, quick replies, business chatbots. Limited API access, can\'t connect to third-party CRMs reliably.
Telegram Bots
The standard approach for business messaging at scale. Create a bot via @BotFather, get a token, connect to any platform that supports Telegram bot API. Full automation, full CRM integration, unlimited users.
For business messaging at scale, use a Bot.
Setup Walkthrough
1. Create the Bot
Open Telegram. Search "@BotFather". Send /newbot. Pick a name (e.g., "AcmeSupport"). Pick a username ending in "bot" (e.g., "AcmeSupportBot"). BotFather replies with an API token.
2. Connect to Your Inbox Tool
In your inbox tool: paste the bot token. The tool calls setWebhook to receive incoming messages.
3. Configure Bot Profile
In BotFather, set:
- Bot photo (your logo)
- Description (what the bot does)
- About text (longer description)
- Menu commands (e.g., /help, /pricing, /contact)
4. Add to Channels / Groups (Optional)
If you want the bot to listen in Telegram channels or groups, add it as admin. Most B2C use cases use 1:1 conversations only.
Marketing Your Telegram Bot
Telegram bots only work if customers know how to find them. Add the bot URL (t.me/yourbot) to:
- Your website\'s contact page
- Email signatures
- WhatsApp Business profile (cross-promote)
- Instagram bio
- Print materials with QR code
Common Use Cases
Customer Support
Customers send the bot a message. AI handles FAQs. Humans handle complex issues. Same model as WhatsApp / Instagram.
Sales Conversations
In markets where Telegram dominates (Russia, Iran, parts of Eastern Europe), customers prefer Telegram for sales chats. Treat it as your primary sales channel there.
Notifications
Send order updates, appointment reminders, news to subscribers. Customers initiate by messaging the bot once. From then, you can send them notifications.
Telegram-Specific Behaviors
- Group chats: bots can be added to groups. Be careful — privacy rules apply.
- Channels: bots can post to channels (one-way broadcasts). Useful for newsletters.
- Voice messages: common in Telegram. Make sure your tool can play them.
- Stickers and GIFs: very common. Customers expect responses with personality.
Multi-Language
Telegram audiences are heavily multilingual. Russian speakers in Israel. Persian speakers worldwide. Spanish speakers in Latin America. AI sales agent must auto-detect and reply in the customer\'s language.
Common Pitfalls
- Bot inactive: Telegram drops webhooks if the bot doesn\'t respond for too long. Always have an "I\'m thinking..." instant ack.
- Rate limits: Telegram has per-user and per-bot rate limits. Bursts of messages get throttled.
- Bot privacy mode: in groups, bots only see commands by default. Disable privacy mode if you want bots to see all messages.
Multi-Channel Inbox
For most businesses, Telegram is one channel of many. Don\'t use a Telegram-only tool — pick a multi-channel inbox so Telegram conversations sit alongside WhatsApp, Instagram, and Facebook.
One Inbox supports Telegram natively, with AI auto-reply, multi-language, and unified analytics. Connect your bot in 30 seconds.
